- Job Summary:
- Right-hand team player for Account Executive. Team has four very unique and task-oriented clients to serve. Must be a multi-tasker.
- Principle Duties and Responsibilities:

- Database Maintenance
Inputs dues information, conference and education course registration, course credits, and other information into the databases for membership. Maintains accurate and current membership information in the database, updates membership demographic information and ensures the accurate transfer of information to the membership directory and to lists of members provided to the public at large.
- Dues/Member Application Processing
Processes dues payments from the lock box and those mailed directly to the office. Processes new membership applications and sends out new member information materials. Assists with scheduled dues billings, preparing invoices and running labels.
- Information Requests
Answers incoming association calls, responds to all routine telephone (including voice mail), fax, mail and e-mail inquiries requesting information on membership, conference dates and fees, education programs, and member lists. Includes answering routine questions and mailing information to inquirers as needed. Refers all non-routine inquiries to the Administrator and/or the Account Executive as required. Maintains records on the number and nature of all inquiries and provides the information as needed for reports to the President, the Board of Directors and committee chairs as required.
- File Maintenance
Maintains files on past conferences, courses offered, etc. as well as routine daily filing. Keeps inventory of brochures, directories, stationery, etc. and works with the Account Administrator to insure an adequate stock of all items.
- Mailings
Provides support and assistance to the Administrator in promoting conferences, in conducting direct mail membership campaigns and other mailings as required. Includes preparing and sending out prospective and new member packets; fulfilling orders for books, membership directories and other association products; sending out dues mailings (depending on size), Board mailings and conference confirmations; collecting member information and maintaining background files in order to provide information for press releases, etc.
- Communications Support
Provides clerical support as needed to the Account Executive and the Administrator in the preparation of association newsletters, conference programs, the membership directory and other publications as required to ensure accurate and timely transfer to the Communication Department.
- General Administrative Support
Handles typing and filing jobs as necessary.
- Meeting/event planning
Assist in coordination a development of client meetings (ranging from 30 - 2500 attendees). Will train in all aspects of meeting management (from brochure and program development, marketing, registration coordination, special event arrangements, etc.) Must be able to work on own with limited supervision and "think outside the box". Must be able to travel 4 - 5 times a year.

- Special Skills Required:
- Ability to serve multiple teams and clients within prescribed, designated hours. Also, degree of flexibility necessary.
- Education/Training:
- College Graduate preferred
- Office Equipment Automation Skills Required:
- Personal Computer (Office programs – Word, Excel, Access, Outlook) and IMIS (database)
